  Groupware

Gordano's online groupware product is known as GMS Web Organizer. Web Organizer integrates directly within the WebMail interface and offers Access and Sharing functionality for Calendars, Contacts, Notes and Tasks via a mature and feature-rich webmail client. It allows you to use calendars to create important events and to set alarms to remind you when those events are due. It also allows you to maintain a Task List and free form Notes. Your Calendar, Task List and Notes can be shared with other users on the system allowing them to view your schedule and, depending on the access rights you give them, manage your events. This product is an essential tool in managing your busy working day.

Collaboration options are enhanced, providing users with access flexibility via a choice of clients; for example: Outlook in a static office environment and GMS WebMail on the road, or at home. Identical views of information are available no matter which access method is selected. GMS Web Organizer is accessed via standard browsers (IE, Mozilla) and new user impact is minimized with familiar and intuitive client interface options. Gordano products provide additional access with support for other iCal aware clients such as Apple iCal and Mozilla Calendar.

As with your email, your groupware data can be protected, by accessing the interface using HTTPS, which like the rest of the Gordano Messaging Suite makes use of SSL technology.

Calendaring

The calendar in GMS Web Organizer offers all the functionality you would expect from a calendar application, all conveniently accessed from a web browser. Easily and quickly create events, using the new event button, or create an event from an email by dragging the email directly into the calendar onto the date of the event.

As well as viewing a single day, you can quickly switch between Week View, or Month View at the press of a button.

The Calendar supports all day events, or events that span across multiple days. You can also create popup alarms to alert you of events, or even have alarms that send you an email, or an SMS message to your cell phone.

Shared Calendars

You can share your calendar with other users on the system, or view other users events in your own calendar using the "show through" feature. Click on the thumbnail on the left to see an example of "show through" in action - here you can see events in green are events loaded from another users calendar - whilst events in blue are the current user's calendar.

Calendar Quick Add

You can directly enter events into your calendar using the quick add feature - just click on a cell and start typing your text. You can also change the duration of a calendar event by selecting the edge and dragging it to the desired size, or you can move an entire calendar event by simply selecting it, then dragging it to the required day and time.

Scheduling

When adding an event to your calendar, you can enter email addresses that you want to invite to attend that event, and the server will then utilize free/busy to query the availability of these attendees in real time, to determine if they are available for the specified time.

If there is a conflict, you can automatically jump to the next time that all attendees are available, and schedule the event for that time.

The status of each attendee is shown in different colors according to their availability, and whether they have accepted your invitation to attend.

You can also create accounts to act as a container for a resource such as a meeting room or a pool car. These accounts can be configured to automatically update the calendar when receiving an event notification.

A free/busy server is included within GMS, as is the option to chain to external free/busy servers to allow scheduling of appointments with remote users.

Tasks

Use Tasks to benefit from a variable timeline setting, repeat functions, percentage completion indicators and multiple alarm options

Manage your current task list, and review the status of current and completed tasks.

As with Calendars, you can share your task list with other people, or view the task lists of other people.

Notes

Web Organizer includes support for Notes, so you can store all those useful pieces of information that don't have a home in Notes form.

Like the rest of the Web Organizer features, Notes can be shared with other users on the system - and are also entirely compatible with Outlook, meaning you can see the same notes list in Web Organzier as you do in Outlook.
